This notice explains how Queensland Lifelong Academy collects and handles information from volunteer applicants and the conditions that apply to volunteer expressions of interest and authorised volunteer activities.
Submitting an expression of interest does not guarantee acceptance, appointment, insurance coverage or authority to act on behalf of Queensland Lifelong Academy.
When you express interest in volunteering with us, we may collect your name, email address, telephone number, suburb or postcode, languages spoken, availability, areas of interest, relevant skills, experience and any other information you choose to provide.
If you progress to a volunteer role, we may also collect information reasonably required for identity verification, referee or screening checks, induction, role allocation, emergency contact, attendance, safety, incident management and insurance administration.
Health, accessibility or other sensitive information will only be requested where reasonably necessary for a particular role, workplace adjustment or safety requirement and will be handled in accordance with applicable law.
We may use your information to:
You are not required to provide optional information. However, if required information is not provided, we may be unable to assess your application, contact you or offer you a volunteer placement.
We may disclose relevant information to authorised Queensland Lifelong Academy personnel, program supervisors, professional advisers, technology providers, screening providers, program partners, venue operators, insurers, insurance brokers, medical or emergency services, regulators or law-enforcement authorities where reasonably necessary, authorised by you, or permitted or required by law.
We do not sell personal information.

We take reasonable administrative, technical and physical measures to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
Volunteer information will only be retained for as long as reasonably necessary for application assessment, volunteer administration, incident or insurance management, dispute resolution, recordkeeping or applicable legal requirements. Information that is no longer required will be securely deleted or de-identified where reasonably practicable.
A person is not an authorised Queensland Lifelong Academy volunteer merely because they have submitted an application, attended an event or offered assistance.
A person may only perform volunteer duties after being formally accepted, assigned to an approved role and provided with appropriate instructions or induction.
Volunteers must only undertake approved activities at authorised times and locations. Activities undertaken privately, outside an assigned role, without approval or contrary to instructions are not authorised Queensland Lifelong Academy volunteer activities.
Unless expressly authorised, appropriately trained and adequately insured, volunteers must not provide personal care, medical advice, financial or legal advice, counselling, participant transport, manual lifting, enter a participant’s home, handle participant money or undertake other high-risk activities.

Volunteers should advise Queensland Lifelong Academy of any reasonable adjustment or limitation relevant to safely performing an assigned role. Unrelated medical or personal information does not need to be disclosed.
Volunteers must comply with all required scheduling, sign-in and sign-out procedures.
Any injury, illness, near miss, hazard, property damage or other incident must be reported to the designated supervisor as soon as reasonably practicable.
The volunteer must provide an accurate account of when, where and how the incident occurred and, where available, identify relevant witnesses, treatment and surrounding circumstances.
Prompt reporting helps Queensland Lifelong Academy respond appropriately, protect those involved and maintain accurate records.
Any insurance that may apply to volunteer activities is subject to the terms, limits, conditions, exclusions and assessment requirements of the relevant insurance policy and insurer.
Queensland Lifelong Academy does not guarantee that every person, activity, injury, loss or claim will be covered.
Volunteers must not assume that an activity is insured unless it forms part of a formally approved and authorised volunteer role.
Nothing in this notice prevents a person from reporting a genuine injury or making a legitimate insurance or legal claim.
All information provided in a volunteer application, attendance record, incident report, expense request or insurance-related matter must be true, accurate and complete to the best of the person’s knowledge.
Queensland Lifelong Academy and its insurer may review relevant attendance records, communications, witness accounts, venue records, photographs, video footage and other lawfully available evidence when assessing an incident or claim.

Nothing in this notice excludes, restricts or modifies any responsibility, duty, right or remedy that cannot lawfully be excluded, including applicable work health and safety obligations and legitimate rights under law or an applicable insurance policy.
